How to Share an Airtable Base as a Template for Others to Use

You've created an Airtable base to help your son track university courses, campuses, and other important details for his upcoming degree. His friends love the setup and want to use it too. But how do you share it without adding them to your plan?

Or maybe you're a freelancer or consultant who built a custom Airtable base for a client—perhaps a real estate agent tracking listings, a business owner managing inventory, or a coach organizing client progress. Instead of manually setting it up for every new client, you want to share a template they can duplicate and use on their own.

Here are the steps to make your Airtable base available to others.

Step 1: Prepare Your Base

Before sharing your Airtable base, make sure everything is set up properly. Double-check that all tables, fields, and views are in place. If you're using forms, interfaces, or automations, ensure they work as intended.

It’s also a good idea to add some sample data so others can understand how to use the base when they first open it.

Step 2: Generate a Shareable Link

Open the base you want to share and click the Share button in the top-right corner. In the menu that appears, go to the "Create link" tab and set the permissions to read-only.

This ensures that others can view your base but not make changes to it. Once the link is ready, copy it and share it with whoever needs access.

Step 3: How Others Can Use It

When someone opens the link, they’ll see your base in read-only mode. They won’t be able to edit anything, but they can explore the data.

To start using the base themselves, they need to go to their Airtable workspace, where the shared base will appear. From there, they can duplicate it and create their own editable copy.

One important thing to note: If your base includes paid features, the person duplicating it will need to be on the same Airtable plan to use them. If they’re on a free plan, those features won’t work.
